Operations Team

Priority

Dock Team

Key Focus
To ensure a fantastic Guest Experience from arrival to departure and back again.

What We Need

  • Guest Experience
    From arrival to departure, the dock team member oversees the Guest Experience from the docks. Responsibilities include being the first point of contact for all guests upon arrival. Once the guest hails in on the VHF radio, the Dock Team responds and directs accordingly. The dock team is to help guide boaters in, assist with tying lines and coordinating the check-in process. Other touch points include the Post-Arrival, Pre-Departure and Departure steps.
  • In-Slip Experience
    It is the duty of the dock team to help all guests properly hook up to various in-slip utilities such as electric and water. The dock team  is also responsible for providing pump services.
  • Marina Growth
    Our dock team members are incentivized to encourage guests to Extend their stay, Return again and Connect us new boaters.
  • Cleanliness
    The dock team helps maintain the cleanliness of the Marina by carrying out duties such as daily dock walks through all facilities, picking up loose trash and removing all trash out of the water, flemishing lines, and helping keep our docks clean and clutter free.
  • Fueling
    The dock team member is to assist all guests with their fueling needs, while providing a safe fueling experience.
  • Safety
    Safety is top-of-mind for all dock team members. Daily dock walks are required for routine safety checks and all hazards must be reported by dock team members promptly.
  • Operational Assistance
    The Dock Team will assist Marina Operations with the focus of beautifying and improving our growing Marina Village on an occasional basis. Projects will vary.

Guest Experience Team

Priority

Key Focus
This role will provide critical support in the pursuit of striving to be the best marina in the South Florida area.

What We Need

  • Guest Experience
    The Guest Experience Team conducts and manages the critical touchpoints which include Arrival, Post-Arrival, Pre-Departure and Departure to ensure a fantastic experience and to ultimately drive sales. The Guest Experience Team is responsible for greeting, welcoming and assisting all visitors to the Marina Office.
  • Guest Satisfaction
    In addition to handling guest challenges as they occur, the Guest Experience Manager is also tasked with improving and optimizing on-site systems to ensure for optimal guest satisfaction.
  • Communications
    From the VHF to all walk-in traffic, the Guest Experience Team is the primary first point-of-contact. Responsibilities include handling all guest experience needs, directing all reservations requests to the Sales Team and all operation needs to the Operations Team.
  • Ship Store Inventory
    This includes stocking, zoning, and cleaning all inventory in the Ship Store, while managing expirations and all deliveries to ensure for accuracy. The Guest Experience Team will also participate in reordering and monthly inventory counts.
  • Mail & Package Receiving
    Behind the Front Desk, the Guest Experience Team is to receive, sort, and distribute all mail and packages to corresponding guests.
  • Transactions
    The Guest Experience Team is the primary operator of the Point-of-Sale (POS). Transactions include selling inventory, authorizing fuel transactions, and assisting with bill payments.
  • Administrative Duties
    Other administrative duties include, but are not limited to data entry, price shopping competitors, filing Security Reports and managing rental and registration logs.

Sales Team

Guest Experience & Sales

Key Focus and Essential Functions:

To interact with boat owners, boat captains, and referral networks concerning to affect sales by email and telephone; to make, confirm and cancel reservations for guests in a pleasant, professional and efficient manner, creating a positive impression and helping to increase Marina occupancy and generate loyal guests and return business.

What We Need

Communications

  • Consistently provide an excellent guest experience with a passion and commitment for promoting Stock Island Marina Village
  • Answer incoming telephone and email inquiries, and handle problems or concerns efficiently and professionally
  • Operate various computer applications while on the phone, multitasking efficiently
  • Describe and promote Marina amenities

 

Reservations

  • Convert incoming inquiries into reservations
  • Obtain all designated information to book a reservation; accurately input information into the computer system following established procedures and at the appropriate rates
  • Maintain full knowledge of current available slips, their location, and layout
  • Determine slip rates based on the rate structure in place with knowledge of the benefits of all rate structures
  • Communicate and implement the Marina’s policy on reservations, cancellations, and no-shows including deposits required and how to accept and refund payments
  • Maintain reservation records by date of arrival and alphabetical listing
  • Prepare and facilitate delivery of letters of confirmation, pre-arrival, pre-departure and post-departure and process any cancellations and modifications
  • Prepare the daily Hot Sheet detailing scheduled arrivals and departures
  • Use appropriate software to check in guests upon arrival and check them out upon departure
  • Utilize dock walk reports from dockhands to create and process arrivals and departures, update slip fees, and calculate electricity usage
  • Monitor HomeAway.com; respond to inquiries and booking requests as soon as possible to maintain maximum inquiry/response rate
  • Monitor payments for boatel rentals
  • Complete Vacation Rental Agreements for boatel guests

 

Transactions

  • Collect slip fees and process security deposits and refunds at the P.O.S.
  • Create invoices in QuickBooks for wet slips and electricity usage; process payments
  • Be aware of all Ship Store procedures and assist with Front Desk duties
    • Perform basic POS functions and handle transactions
    • Sell gasoline, diesel, and marine supplies
    • Direct boat traffic to the Marina
    • Advise and assist in docking vessels at slips and at fuel dock
  • When necessary, open the Ship Store in the morning or close it down at the end of day

Qualifications

  • Applications will receive evaluation based on:
    • Reasonable knowledge of general office practices and procedures; systematic filing and retrieval processes; word processing; English composition, spelling, grammar and arithmetic; general record-keeping and bookkeeping processes
    • Skill in use of computer applications and programs including booking software, word processing, scanning, file storage, and email.
    • Ability to communicate effectively in both oral and written forms; estimate and manage time efficiently; courteously meet and deal effectively with other employees and the public; ability to work alone.
